People HR T&A Sync Errors and How to Fix Them

A guide to show potential People HR T&A sync errors and how to fix them

Clocks Out of Sequence

This is the most common error that will occur with your People T&A sync. This error usually means someone forgot to clock in or out either the day before or current day of the error message.

There are three ways to fix this error:

  1. Go to the date shown in the error:
    • If the time shown is in the AM first check the day before to see if there is a missing clock, if there is enter one and retry the sync
    • If the time shown is in the PM time check to see if there is an AM time, if not enter one and retry the sync
    • If people have manually entered times before a sync has happened, delete that manual entry and enter the time shown in the error message and sync again
  2. You can go to the date given in the error log and delete out all clocks for that day and the previous day and rerun the sync, this will remove any manual clocks that could be causing the error
  3. If things get unmanageable, and you have a lot of error messages in one sync, we would advise deleting the clock records off the machine and starting from a fresh slate, you can email support@idency.com to get assistance with this

Timesheet Already Exists

This is quite a rare error that can occur there are two solution to solve this: 

  1. Delete the timesheet for the employee in PHR for the day of the given error, in this case employee 10604 on the 09/12/2024
  2. Delete the clocking records off the device and start from a clean slate, email support@idency.com, and we can assist with this

Could Not Find Employee

This error message crops up for 2 reasons, 

  1. You have not linked this ID to a user in the Time & Attendance field in the employment tab on the employee’s profile
  1. The other reason could be that you have deleted the user from PeopleHR but their records are still stuck in the device’s memory cache, this will require you to delete the records off the device, please email support@idency.com, and we can assist with this

Device Connection Issues

This error occurs when PeopleHR are unable to communicate with the device, there are 5 main reasons this may happen:

  1. The most common cause for this error is incorrect port forwarding in your firewall, you would need to get your IT team to check this for you, we always send out documents that cover these requiremens
  2. Incorrect Public IP Address has been added to the PeopleHR plugin screen, you would need to get your IT to check you have the correct Public IP for each site and input this if needed
  3. The IP configuration on the device is incorrect, you can check the symbols on the device home screen if the Ethernet/Wi-Fi has a red strike through it this could be the issue, your IT team would need to look into this for you and once fixed this would work correctly again
  4. PeopleHR are having server issues, you will see a lot of submitted requests that look stuck if this is the case, you just need to wait for these to fail then try them again
  5. The device has slipped off its allocated IP or has been taken by another device on the network blocking its connection with PeopleHR, we can help you determine this and then get your IT team to fix it
