    HR Software vs Time & Attendance Software: What’s the Difference?

    HR software and time and attendance software are often confused, and plenty of businesses buy one assuming it covers the other. The difference is simpler than it sounds. HR software manages who your people are. Time and attendance software records when they actually worked.

    Most businesses with hourly or shift-based staff end up needing both. This article explains what each one does, where they overlap, and how to work out what you need.

    What HR Software Does

    HR software is the central record of your people. It holds employee details, contracts and documents, and handles the processes that sit around employment.

    Typical features include:

    • Employee records and document storage
    • Leave and absence management, including holiday requests and approvals
    • Onboarding and offboarding
    • Performance reviews and appraisals
    • Reporting on headcount, turnover and absence
    • Payroll, in some platforms

    Common examples in the UK include PeopleHR, Sage HR, Cezanne HR y edays.

    If you need to know someone’s job title, start date, remaining holiday or line manager, that lives in your HR system.

    What Time & Attendance Software Does

    Time and attendance software records the hours people actually work. It takes clock-in and clock-out data and turns it into hours that payroll can use.

    Typical features include:

    • Capturing clock-ins and clock-outs, usually from a terminal, app or card
    • Calculating worked hours, including overnight shifts
    • Applying shift patterns and working rules

    If you need to know whether someone was 15 minutes late on Tuesday, or how much overtime they worked last month, that lives in your time and attendance system.

    Where the Two Overlap

    This is where the confusion starts. Most modern HR platforms include some form of clocking, usually a mobile app or a shared tablet by the door. Because of this, many businesses assume their HR system already covers time and attendance.

    For an office team, it often does. Everyone has a phone, hours are broadly consistent, and nobody is queuing to clock in.

    It works less well once you have a large frontline workforce:

    • App clocking assumes every employee carries a compatible phone at work
    • Gloves, wet hands and PPE make touchscreens slow and unreliable
    • A single shared tablet creates a queue at shift changeover
    • Shared PINs make it easy for one person to clock in for another
    • Complex shift patterns, overnight shifts and overtime rules are often beyond what a basic clocking module handles

    This isn’t a fault in the HR system. Clocking is a small part of what those platforms are built to do, and for many of their customers, it’s enough.

    Do You Need Both?

    Not every business does. Use this as a rough guide.

    Your HR System Is Probably Enough If

    • Most of your staff are salaried rather than paid by the hour
    • Working hours are consistent and rarely disputed
    • Everyone works from an office or at a desk
    • You have no shift patterns, overnight working or regular overtime

    You Probably Need Dedicated Time & Attendance Software If

    • Staff are paid by the hour, so every recorded minute affects pay
    • You run shift patterns, overnight shifts or regular overtime
    • Staff can’t use a personal phone to clock in, such as on a factory floor or shop floor
    • Buddy punching is a known problem or a real risk
    • You operate across several sites and need to see who is on site
    • Payroll regularly needs correcting after the fact

    What Happens When They’re Separate

    If you run both, the two systems need to talk to each other. Without that, someone has to export hours from one and import them into the other every pay period.

    That creates the problems the software was meant to remove:

    • Manual work every payroll run
    • Mistakes from copying data between systems
    • Employee records held in two places and slowly drifting apart
    • Delays when hours arrive too late for payroll to close on time
