    IdencyTime Main Menus Explained

    This article explains the main menus within IdencyTime and what each one is used for, including the Dashboard, Clocks, Devices, Evacuation Reports and Staff menus.

    Section 1 | The Dashboard

    Overview of the Dashboard

    When you log into IdencyTime, you’re shown the dashboard , which is an overview of what’s happening within your account. From here you can check the status of all your devices and see the latest clocks that have come into the system.

    If you have the Evacuation Module, you can select the Evakueringsrapporter button in the top right to go straight to the evacuation menu and run a report. You can also reach the Devices menu and Clocks menu from the dashboard by selecting the Apparater eller Latest Clocks widgets.

    Section 2 | Clocks

    Viewing Clocks

    The Clocks menu shows all your clocks for the past week. You can search for a specific clock using the search bar or the filters in the top right.


    Adding a Clock

    It’s possible to add a clock manually in IdencyTime, though in most cases it’s faster to add it directly in your HR system.

    • Välj New Clock in the top right
    • Select the location of the clock
    • Select the staff member the clock is for
    • Choose whether it’s an IN or OUT clock
    • Set the date and time for the clock
    • The Devices menu is used to check the status of your devices, edit their information, or sync them.

    Section 3 | Staff

    Overview of the Devices Menu

    The Devices menu is used to check the status of your devices, edit their information, or sync them.

    • State: can be Healthy, Overdue or Offline. Overdue means the device connected within the last 30 minutes but has not yet reconnected
    • Vendor: device manufacturer
    • Device Key: device serial number
    • Nickname: a nickname for the device
    • Device Name: the name of the device. We usually name these before sending them out, so it’s clear which device is which
    • Person Count: how many staff are on each device
    • Face Count: how many face templates are on each device
    • Finger Count: how many fingerprint templates the device has
    • Location: the location where the device is situated
    • Device Group: the group of staff that will sync down to the device
    • Pin: Uni-Ubi only — the current device password
    • Edit: allows you to edit the device information
    • Radera Records: Uni-Ubi only — allows you to delete records off the device to keep its memory clear Sync: syncs all users from the device group to the device

    Editing a Device

    Markerar Redigera lets you change the device information. Once you’re finished, select Spara to update it.

    Section 4 | Staff

    Overview of the Staff Menu

    The Staff menu houses all your staff. For most customers, employees sync in automatically from your HR system and then down to the devices. It’s still useful, however, to understand how the Staff menu works and what it can do for you.

    • Namn: the staff member’s name, this can also be their ID if you’d rather not store real names
    • Anställningsnummer: the ID on the device, linking the clocking machine to IdencyTime and then to the HR system
    • Department: the department the staff member is assigned to, usually brought in from the HR system
    • Third Party IDs: used to link the IdencyTime staff member to the HR timesheets
    • Sync HR Clocks: lets you sync a single staff member’s clocks for a given day, instead of syncing everyone
    • Sync from Device: lets you pull a single staff member’s information from the device, including their template, card and password information
    • Delete Staff: deletes the staff member from the system
    • Edit: allows you to edit the staff member’s information

    Creating a New Staff Member

    Välj New Staff, fill in the relevant information, and add a Third Party ID to the record. The most important fields are Employee ID och First Name, the rest are optional. This screen also shows the biometric template that will appear in each staff member’s profile once they’ve been registered on the device.


    Adding a Staff Member to a Device Group

    Once a staff member has been created, select them from the list and add them to a device group. This is important, as it determines which devices they’ll be sent to.


    Selecting a Device Group

    Välj Add/Remove Device Group, then select the group you want to add or remove them from.


    Managing Multiple Device Groups

    You can add someone to multiple device groups, or remove them from multiple groups, by repeating this process or editing the employee’s profile directly.

    Staff are synced to the devices attached to their device groups. A device can only be attached to one device group, but staff can be attached to multiple, this lets you split staff where needed and only give access to the correct devices.
